Gaia-X is seeking to recruit an Operations Manager to support the Chief Operations Manager. His or Her responsibilities will be as follows:


COO Support

  • support the COO to focus on strategic topics
  • support the work with the BOD (presentation, agenda, minutes, liaison, vice-chairs)
  • support and prepare the associations BOD meetings and general assembly’s
  • support and prepare communication to establish trusted relations (to lighthouse projects, BOD and adjunct projects)
  • facilitate and support the stakeholder management process
  • assure collaboration with CxO Teams


Operations Management and COO Team support

  • assure compliance with the AoA, Bylaws, Ops-Handbook in daily operations
  • support the association’s day to day operation
  • support the current COO team, to focus on operational functions like the development of documents and processes as well as the franchise kit
  • support business requirement management, capacity planning, and release planning across all workgroups
  • assure effectiveness, manage deadlines of deliverables
  • support the COO team to manage and control projects and suppliers related to the Statement of Work
  • work closely with Group and Committee Manager and the Program Manager
  • define and implement the level of support for Workgroups


Internal Communication

  • establish and implement internal communication procedures in alignment with the CMO
  • jointly coordinate communication between Workgroups and the respective interfaces and dependencies with the Group Committee Manager
  • ensure communication between CxO Teams


Experience and Competence

  • Experience in global, multicultural projects and organizations
  • Project Management expertise, knowledge of Agile Project Management Concepts
  • Experienced in organization development in global matrix organizations
  • Profound Knowledge of ITIL based Requirement, Capacity and Resource Management
  • Experienced in designing and establishing internal communication procedures
  • Contract management skills and experience
  • Strong stakeholder management skills
  • Comfortable engaging with executive leaders across public and private sector
  • Ability to effectively work in and with an international distributed team and organization using online communication and collaboration tools (Office365, Teams among others)
  • Common sense and rational with straightforward, solution oriented, clear, concise verbal and written communication.
  • Result driven, strategic thinking, holistic approach
