The Role
We are looking for a committed and detail-oriented Administration and Finance Officer to support the Chief Financial Officer in the day-to-day financial and administrative management of the Association. This role is key to ensuring the sound functioning of our operations, with a strong emphasis on confidentiality, reliability, and accuracy.
Key Responsibilities
- Maintain accurate records of invoices, payments, and reimbursements
- Monitor budgets and support the preparation of financial reports
- Assist the CFO in the preparation of documentation for audits, board meetings, and general assemblies
- Ensure compliance with the administrative and financial obligations of a Belgian AISBL
- Liaise regularly with the external accountant and other service providers
- Prepare and maintain internal documentation in line with regulatory and internal requirements
- Contribute to the optimisation of administrative and financial procedures
- Carry out additional administrative tasks in support of the association’s operational needs
Profile and Requirements
Experience and Education
- Minimum 3 years of relevant experience in finance, accounting, or administration, ideally in a non-profit, association, or international environment
- Bachelor’s degree in Accounting, Finance, Economics or a related discipline is an asset
- Familiarity with Belgian not-for-profit financial and administrative regulations is a strong advantage
Skills and Competencies
- Advanced proficiency in Microsoft Excel (formulas, charts, data handling); PowerPoint skills are an asset
- Proven experience in budget tracking and reporting
- Excellent organisational and time-management abilities
- Absolute commitment to discretion and confidentiality in all matters
- Strong interpersonal and communication skills in a multicultural setting
- Self-motivated, structured, and reliable team player with a hands-on attitude
Languages
Fluency in English and French
